Key handover agreement
The departing tenant and the new tenant can agree on the handover of the keys and the apartment directly with each other, so that there is no need to collect or return the keys at Hoas Service Center.
How to make a key handover agreement?
- Make the key handover agreement at the apartment when the keys are handed over.
- The departing tenant has received the key handover agreement in paper format. Carefully fill in all the requested details on the agreement.
- Sign the agreement when the keys change hands.
- Take a photo of the agreement so both parties have a record of it.
- After handing over the apartment and the keys, the departing tenant sends Hoas a photo of the completed and signed agreement.
You can also use the key handover agreement to agree on handing over furniture or a washing machine to the new tenant. Remember to get a home insurance if there is a washing machine in the apartment.
Note: If changes have been made to the apartment’s fixed structures without Hoas’s permission, you cannot include them in the key handover agreement. (What does this mean? Read more: Alteration works in apartment)
The key handover agreement can also be used when one party to the tenancy agreement remains in the apartment (e.g., after a breakup), and the departing tenant hands over their key to the remaining tenant. Indicate in the agreement how many keys the departing tenant is handing over (e.g., apartment key 1 pc).
Instructions for the tenant moving out
1. Give us permission to share your contact information with the new tenant:
- On the termination of tenancy form
- OR by email (confirmations@hoas.fi)
2. The new tenant will contact you if they wish to receive the keys directly through the key handover agreement.
3. Send a photo of the signed agreement to Hoas:
- Via MyHoas (Forms > Key handover agreement), no later than the last day of your tenancy agreement
- OR via confidential email (to: customerservice@hoas.fi) by 9 a.m. on the day after your tenancy ends
Following the schedule is important so we won’t expect you to return the keys and so we have time to cancel any scheduled cleaning inspections or services.
You are not allowed to hand over parking space keys, parking hall remotes, parking permits, or club room keys to the new tenant. Return other keys directly to Hoas and club room keys to the tenant committee.
Note: You may still be charged for cleaning of shared areas in a shared apartment if they are not clean. The new tenant’s signature only confirms the final cleaning of the private room.
Instructions for the new tenant
1. Make the agreement while at the apartment.
2. Check that the apartment is clean and ready to move into before signing the agreement.
3. Keep a photo of the key handover agreement for yourself. You’ll need it if you lock yourself out before your tenancy officially begins.
Do not sign the agreement and collect your keys from Hoas if:
- You haven’t signed your own tenancy agreement yet
- Your tenancy doesn’t begin immediately after the departing tenant’s tenancy ends
- You are not present to inspect the condition of the apartment
- You do not approve the final cleaning of the apartment
- The apartment contains furniture or a washing machine you do not want to take responsibility for
- Changes have been made to the apartment’s fixed structures without Hoas’s permission (e.g., laminate flooring installed over vinyl — read more: Alteration works in the apartment)
By signing, you accept the condition of the apartment (in shared apartments, only your private room). If cleaning has not been done, do not sign the agreement. Minor cleanliness issues can be resolved by yourself and do not prevent signing.
